Bookkeeping Engagement Terms

These terms apply when you engage Somfa Financial Books Services for people-delivered work — monthly bookkeeping, cleanup and catch-up, payroll support, QuickBooks setup, or advisory projects. They are separate from the software subscription, and a written engagement letter or accepted proposal, together with these terms, defines the work.
Scope of work
- Your proposal or engagement letter lists exactly what is included: accounts covered, transaction volumes, reporting cadence and turnaround times.
- Anything not listed is out of scope and quoted separately, including audits, assurance work, tax return preparation and filing where not stated, forensic investigations, and back-year cleanups beyond the agreed period.
- We do not provide audit, assurance, legal or investment advice, and we do not sign off on financial statements as an auditor.
Your responsibilities
- Provide complete, accurate records — bank and card statements, receipts, invoices, payroll information — by the agreed cut-off each period.
- Approve reconciliations and reports within the agreed review window; unreviewed periods are treated as accepted after 15 days.
- Tell us promptly about new bank accounts, entities, locations, employees or tax registrations.
- Remain responsible for filing and paying your own taxes and remittances, and for the final accuracy of your records.
Our commitments
- Work performed with professional care by Intuit QuickBooks Certified ProAdvisor personnel.
- Agreed turnaround times, provided your records arrive on schedule.
- Clear communication of anything unusual we find, including suspected errors, duplicates or possible irregularities.
- Strict confidentiality over everything we see, indefinitely, and secure exchange of documents through access-controlled portals rather than plain email attachments.
Fees and term
- Monthly service fees are billed in advance; project work is quoted as a fixed fee or hourly rate as stated in the proposal.
- There is no long-term lock-in: either of us may end the engagement with 30 days’ written notice.
- On ending an engagement, we hand over working papers and files in a usable format once outstanding fees are settled.
- Out-of-scope work is confirmed in writing before it starts.
Independence, conflicts and limits
- We will tell you if a conflict of interest arises and how we propose to handle it.
- We rely on the information you provide and are not responsible for consequences of incomplete, inaccurate or withheld records, or of decisions you take against our advice.
- Our liability for this engagement is limited to the fees paid for the twelve months preceding the claim, except where liability cannot lawfully be limited.
- Where we must report a matter under anti-money-laundering or other legal duty, we will do so and may be unable to tell you.
Data protection
Personal information handled during an engagement is covered by our Privacy Policy, and where we process data on your behalf, by our Data Processing Agreement. Working papers are retained for up to 7 years as professional and tax record-keeping rules require.
