Acceptable Use Policy

This policy applies to everyone who uses SOMFA Business Cloud — owners, staff, bookkeepers, advisors and anyone using an account you control. Breaching it can lead to suspension or termination under the Terms of Service.
Financial integrity
- Do not falsify, backdate or fabricate sales, invoices, receipts, payroll or bank records.
- Do not use the platform to evade tax, launder money, finance terrorism, or conceal transactions from a regulator, auditor or lender.
- Do not delete or alter records to hide activity: cancellations, restorations and amendments require a stated reason and are permanently audit-logged.
- Do not share a single workspace across unrelated legal entities in order to avoid plan limits or misstate results.
Security and platform integrity
- No probing, scanning or penetration testing without our prior written permission.
- No attempt to bypass authentication, roles, permissions, tenant isolation, plan limits or rate limits.
- No uploading of malware, or of files intended to exploit users who download them.
- No scraping, automated bulk extraction, reverse engineering, or reselling or white-labelling the service without a written agreement.
- No load that degrades the service for others, including uncontrolled API or import loops.
- Report vulnerabilities responsibly to admin@somfabookkeeping.com; we will not pursue good-faith researchers who follow that route.
Content and people
- No unlawful, infringing, defamatory, harassing or discriminatory content.
- No personal information you have no lawful basis to hold, and no sensitive documents a feature does not ask for.
- No sending of unsolicited bulk email, or invoices and receipts, to people who have not transacted with you or consented — you must follow CAN-SPAM, CASL, UK PECR, GDPR and equivalent rules.
- Employee monitoring features (clock in/out, attendance, timesheets) must be used lawfully and transparently, with the notices your local employment and privacy law requires.
AI features
- Do not use AI features to generate misleading financial statements, fake documentation, or advice you present as coming from a licensed professional.
- Do not submit other people’s confidential data to AI features without a lawful basis.
- Always review AI output before acting on it; you remain responsible for the result.
Marketplace, advisor and Amazon add-on rules
- Professionals listing in the advisor marketplace must hold the credentials they claim and keep them current.
- Do not use client data obtained through an engagement for any purpose beyond that engagement.
- Amazon Seller & Intelligence must be used only with accounts you are authorised to access, in line with Amazon’s policies and data-protection rules; do not use competitor or IP-risk data to harass sellers or to infringe trademarks.
Enforcement
We may investigate suspected breaches, and may warn you, restrict a feature, suspend an account, remove content, or terminate the subscription — immediately where there is a serious risk of harm, fraud or legal exposure. Where the law requires, we report criminal conduct to the authorities. We will tell you what happened and how to respond unless doing so would prejudice an investigation or breach a legal obligation.
